Terms and Conditions.
1. Booking Agreement
All bookings made through our Acuity Scheduling system are considered legally binding once payment is submitted and the required acknowledgment boxes are checked during checkout.
By completing a booking, the Client:
Agrees to the Terms & Conditions of Stone Soup LLC (Studio Stone Soup), including all policies on liability, damages, conduct, and studio use.
Authorizes Stone Soup LLC to charge the payment method used for any additional time, damages, or repair costs incurred during the rental, as documented and in accordance with these Terms & Conditions.
Confirms responsibility for ensuring that all members of their team, guests, or contractors comply with the same studio rules and safety policies.
Clients booking larger productions or sessions exceeding six (6) hours are required to provide a valid Certificate of Insurance (COI) naming Stone Soup LLC as Additional Insured prior to the session.
Payments are accepted via Stripe (Credit/Debit Card – 4% processing fee), ACH, Bank Wire, or Zelle.
2. Payment Authorization & Disputes
All payments processed through Stripe or Acuity are final.
By completing a booking, the Client waives the right to dispute charges related to damages, overtime, or additional costs, provided Stone Soup LLC presents documentation such as photos, invoices, or timestamps supporting the charges.
3. Cancellation & Non-Refund Policy
Once a booking is confirmed and payment is submitted, it is considered final.
Cancellations made 3 or more days prior to the booking date will receive a full refund.
Cancellations made within 3 days of the booking date are non-refundable, as the time slot has been reserved exclusively for the Client.
Rescheduling requests must be made in writing and are subject to availability.
Stone Soup LLC reserves the right to make exceptions or offer booking credits at its discretion, but such exceptions do not alter this general policy.
4. Insurance
All clients are encouraged to maintain General Liability Insurance with minimum coverage of $1,000,000 per occurrence and $2,000,000 aggregate.
For larger productions or bookings exceeding six (6) hours, a valid Certificate of Insurance (COI) naming Stone Soup LLC as Additional Insured is required prior to the session.
Failure to provide proof of insurance upon request may result in cancellation of the booking without refund.
5. Security
Security cameras are in operation throughout the studio for safety and insurance purposes.
Tampering with, covering, or disabling any security equipment is strictly prohibited and will result in immediate termination of the session and a minimum $250 charge, plus any repair or replacement costs if damage occurs.
6. Damage, Liability & Downtime
Clients must return the studio — including all walls, floors, cyc wall, furniture, fixtures, lighting, electrical systems, and equipment — in the same condition as at the start of the rental.
Any damage caused by the Client, their guests, crew, or contractors (including but not limited to holes, cracks, scratches, paint damage, electrical misuse, or structural harm) will be the Client’s full financial responsibility.
By completing a booking, the Client authorizes Stone Soup LLC to charge the payment method on file for:
All repair or replacement costs, including materials, labor, and related expenses.
Repair estimates may be based on comparable contractor quotes, in-house work, or documented material costs.
Loss of business income (studio downtime) required for repairs or repainting, billed at the standard hourly rental rate of $69/hour.
Standard repair costs range from $150 for minor repainting to $3,000+ for structural reconstruction.
Downtime is determined by the number of business days the studio is rendered unrentable, including drying or restoration periods.
The studio documents its condition before and after each rental. Any unreported damage discovered afterward will be presumed to have occurred during the Client’s rental period unless proven otherwise.
7. Cooking
Only light food preparation is allowed in the space. No cooking or open flames are permitted.
8. Furniture & Equipment
All furniture and provided equipment must be handled with care.
The Client is responsible for any loss, theft, or damage during their rental period.
Clients must only use electrical outlets and power strips as provided. Plugging in high-voltage devices (such as air conditioners, industrial fans, or heavy lighting) to unauthorized outlets or modifying any electrical setup is strictly prohibited.
If damage occurs due to misuse of electricity or equipment, the Client will be responsible for all repair, replacement, and downtime costs.
9. Keys, Access & Security
Clients will receive a unique access code or key at the start of their booking.
Keys must be returned to the lockbox immediately after use.
A $100 fee will be charged for lost or unreturned keys.
Unauthorized duplication or retention of keys may result in additional fees and revoked access.
10. Extensions & Overtime
If you wish to extend your booking, please notify us as soon as possible. Extensions are subject to availability.
A 15-minute grace period is provided after your scheduled end time.
Remaining beyond 15 minutes will result in an additional 1-hour charge.
11. General Rules
The Client must follow all NYC Fire Department regulations.
No subletting or sharing of the space without written consent.
No smoking, vaping, or illegal activities.
No loud music or disruptive behavior affecting neighboring tenants.
Trash must be properly disposed of in designated bins.
The studio must be left in the same condition it was found.
12. Indemnity
The Client agrees to indemnify and hold harmless Stone Soup LLC, its owners, and affiliates from any claims, damages, or expenses arising from their use of the space, including injury, property loss, or third-party actions.
13. Termination & Conduct
Stone Soup LLC (Studio Stone Soup) reserves the right to terminate any session immediately if a client or crew member violates these terms, causes damage, engages in unsafe conduct, or disrupts neighboring tenants.
No refunds will be issued under such circumstances.
14. Agreement
By completing a booking through our Acuity Scheduling system, checking the acknowledgment boxes, and submitting payment, the Client confirms their understanding and acceptance of all policies outlined above.
